The Fundamentals

What Is Project Management for Book Publishing?

Project management for book publishing involves overseeing every stage of the production process — planning, scheduling, coordinating resources, and ensuring quality control from initial manuscript submission through to final delivery.

At Virtus, the role of the project manager, sometimes referred to as a production editor, adapts to the needs of each project. Traditionally, this role sat within a publisher's internal team. However, many publishers now rely on trusted partners like Virtus to manage these responsibilities efficiently and professionally.

This shift reflects the growing demand for specialised publishing expertise and streamlined workflows. By placing project management in the hands of experienced professionals, publishers benefit from improved efficiency, reduced risk, and consistent results.

Continuity

A Dedicated Project Manager for Every Title

Every book we handle is supported by a dedicated project manager who remains involved from beginning to end. This continuity ensures clear communication, accountability, and a deep understanding of each project's specific requirements.

The project manager is both the first and last point of contact during production. They oversee all moving parts, ensuring that deadlines are met and that each stage flows seamlessly into the next.

"On any given day, authors and stakeholders can check in to receive updates on progress. This open communication is a key part of our approach and helps build trust throughout the publishing journey."

Managing Complex Publishing Workflows

The scope of project management for book publishing can vary significantly depending on the nature of the title. Virtus project managers are experienced in handling these complexities, they coordinate across teams to ensure that each format is produced to the same high standard while maintaining consistency across all versions.

DAY TO DAY

Core Responsibilities of a Publishing Project Manager

The day to day responsibilities of a project manager at Virtus are varied and detail focused. While each project is unique, key responsibilities typically include:

01

Acting as the Central Point of Contact

The project manager serves as the primary liaison between the author and internal teams. This ensures clear communication and eliminates confusion throughout the process.

02

Maintaining Production Schedules

Careful scheduling is essential in book publishing. Project managers create and maintain detailed timelines, ensuring that each stage is completed on time and that deadlines are consistently met.

03

Managing Copyrights & Permissions

Where required, project managers track permissions for third party content such as images or illustrations — protecting author and publisher while ensuring legal compliance.

04

Quality Control at Every Stage

All submitted materials are reviewed for completeness and accuracy at each stage of production — reducing the risk of errors and ensuring smooth progression.

05

Ensuring Editorial Consistency

All content adheres to the required editorial style — particularly important for academic and professional publishing where consistency is critical.

06

Coordinating Final Deliverables

From print files to digital formats, the project manager oversees the preparation and delivery of final outputs. This includes managing uploads to printers, distribution platforms, and hosting services.

07

Reporting & Communication

Regular updates and reports are shared with all stakeholders. This keeps everyone informed and allows for quick resolution of any issues that may arise.

YOUR CHOICE

Supporting Authors at Every Level

At Virtus, our goal is to take the pressure off authors by managing the day to day demands of publishing. Whether you are an experienced author or new to the process, our approach is designed to support you. Your level of involvement is entirely your choice, try both styles below.

Stay close to every stage

Some authors prefer a hands on role, reviewing progress at each stage and providing input throughout.

Hand over the reins

Others prefer a more hands off approach, trusting the project manager to oversee everything.

ONE COORDINATED TEAM

Seamless Collaboration Across Teams

Publishing a book involves multiple specialists, including editors, designers, typesetters, and production staff. Without effective coordination, this process can quickly become complex and time consuming. Our project managers ensure seamless collaboration between all parties. By managing communication and workflow, they keep the project moving forward without unnecessary delays.

FROM CONCEPT TO COMPLETION

A Reliable Partner for Your Publishing Journey

Project management for book publishing is about more than just meeting deadlines. It is about delivering a finished product that reflects the author’s vision while meeting industry standards.

At Virtus, our project managers take ownership of the entire process, ensuring that every detail is handled with care and precision. By combining expertise, organisation, and clear communication, we provide a service that authors and publishers can rely on.

If you are looking for a trusted partner to manage your next publishing project, Virtus is here to help guide your book from concept to completion with confidence.

We would love to hear from you – let's keep in touch.

At the start of every Virtus project, all titles are assigned to a dedicated project manager (PM), who guides the book through all phases, from the raw (unedited) manuscript to the finished product.

The role of the project manager (PM), sometimes referred to as a production editor (PE), can vary depending on a number of factors.

Traditionally, PMs were employed within the production department at a publisher, but increasingly over the past several years publishers have come to expect that this role be handled by the vendor. As a publishing services provider, Virtus assumes this role.

This role can be complex, depending not only on the length of book, but also on the number of final “deliverables.” Under the most basic scenario this would include a print version but may also include an eBook and an audio book. Each of these stages is unique and requires expert-level management.

The day-to day responsibilities of a project manager will vary depending on the type of project, but these will likely include details such as these:

• Acting as the primary liaison between the author and internal Virtus staff

• Tracking copyrights and permissions, as applicable, such as for the use of artwork

• Maintaining book production schedules throughout all phases

• Checking all submitted material for completeness and correctness at all production stages

• Ensuring adherence to the required editorial style for all content, as specified by the author

• Managing the upload of final files to designated recipients such as the printer or various hosting platforms

• Generating and circulating reports to all stakeholders

• Providing regular feedback to internal Virtus staff

In terms of the production steps that are required, the PM is the first in and the last out on any project.

Our goal at Virtus is to bear the brunt of the day-to-day aspects of producing each title, without any intervention required on the part of the author. How involved an author may be in the process can vary depending on their knowledge of the process and their own interest level to be involved. If an author wishes to have a more hands-on approach, that desire can be accommodated. But for those wishing to have a hands-off approach, the Virtus PM can handle it.

On any given day, each author has the opportunity to check in with the PM to see where the project is in the production pipeline. The project manager is the primary point of contact throughout the process.

We would love to hear from you – let’s keep in touch.
